Privacy Policy

This policy explains how Anytime Heating & Air Conditioning ("Anytime," "we," "us") collects, uses, and shares personal information when you use this website or contact us, and the rights California residents have under the California Consumer Privacy Act as amended by the California Privacy Rights Act (together, "CCPA").
Information we collect
- Information you give us: name, phone number, email address, service address and ZIP code, details about your heating or cooling system and the work you need, and anything you write in a message. For builder and property inquiries, project and portfolio details.
- Chat conversations: if you use the chat assistant, what you type and the assistant's replies are saved so our team can follow up, along with a one-way hashed (not raw) version of your IP address used for abuse prevention.
- Equipment photos: if you upload a photo of your equipment's label, we remove location and other embedded data (EXIF) from the image before storing it privately, and save the details read from it along with any corrections you make.
- Calls and texts to our business number: your phone number, call outcome (for example, a missed call), and the text messages you send us, so we can follow up. Opt-out requests (STOP) are recorded and honored.
- Rebate navigator answers: used only to show you matching programs. We don't store them.
- Consent records: if you agree to receive text messages, the consent wording you agreed to, the date and time, and the IP address it came from.
- Attribution data: the page you submitted from, and marketing campaign tags in the link that brought you here (such as utm_source), sent along with your request.
- Technical data: IP address, browser type, and device information, used for security, spam prevention, and (only with your consent) analytics.
How we use it
- To respond to your request, schedule and perform work, and send estimates, invoices, and service updates.
- To text you about your request and appointments, only if you opted in.
- To prevent spam and fraud and keep the site secure.
- To understand how the site is used and improve it, only if you accept analytics cookies.
- To answer questions in the chat assistant, read equipment labels you upload, and summarize rebate programs.
- To meet legal, tax, licensing, and recordkeeping obligations.
Text messages
We text you only if you check the optional text-message box. Consent is not a condition of purchase. Message frequency varies, and message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. We do not sell or share your mobile number or text-messaging consent with third parties or affiliates for their marketing purposes.
Cookies and analytics
We use a small number of cookies that are needed for the site to work, including one that remembers your cookie choice. Optional analytics tools (Google Analytics through Google Tag Manager, and Microsoft Clarity, which records how pages are used) load only after you click "Accept analytics." If we use call tracking (CallRail), it also loads only after you accept: it may show a different phone number on the site so we can tell which ad or page led to a call, and calls to that number reach us the same way. You can change your choice at any time using the "Cookie settings" link in the footer. We honor the Global Privacy Control (GPC) browser signal as a request to opt out, and analytics stay off when it is present.
Who we share it with
We share personal information only with service providers that help us run the business, under contracts that limit their use of it:
- Website hosting (Vercel) and database hosting (Supabase)
- Email delivery (Resend) and, when enabled, text messaging (Twilio)
- Spam protection (Cloudflare Turnstile)
- AI processing (Anthropic), which powers the chat assistant, reads equipment label photos, and writes rebate summaries. Content is sent to Anthropic only to generate those responses.
- Analytics and call tracking (Google, Microsoft Clarity, CallRail if enabled), only with your consent
- Scheduling and field-service software we use to manage jobs
- Government agencies when required, for example building permits for work at your address
We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
How long we keep it
We keep inquiry and job records for as long as needed to serve you and meet legal, warranty, tax, and licensing recordkeeping requirements, then delete or de-identify them. Inquiries that don't become jobs are deleted after a reasonable period.
Your California privacy rights
If you are a California resident, you have the right to:
- Know what personal information we collect, use, and disclose, and get a copy of it.
- Delete personal information we collected from you, subject to legal exceptions.
- Correct inaccurate personal information.
- Opt out of the sale or sharing of personal information. We don't sell or share it, but you can still make this request, and we honor GPC signals.
- Limit the use of sensitive personal information. We don't use sensitive personal information for purposes that require offering this right.
- Not be discriminated against for exercising these rights.

We will verify your request by matching information you provide with our records, and respond within the time the law requires. You may use an authorized agent; we may ask for proof of the agent's authority and to verify your identity directly.
Security
We use reasonable safeguards, including encryption in transit, access controls, and restricted server-side access to our database. No system is perfectly secure, so please don't send sensitive information like payment card numbers through our forms.
Children
This site is not directed to children under 16, and we do not knowingly collect their personal information.

We'll post changes here and update the date at the top.
